Case Study: A Taste of Southlake

Some events are worth circling on your calendar every year. A Taste of Southlake is one of them.

Every spring, more than 20 of the area's best local restaurants take over the Westin Southlake Hotel for one night. Food, drinks, live entertainment, and a room full of people who are genuinely happy to be there. Every ticket sold benefits the Tarrant Area Food Bank, so the evening is a celebration of food for everyone!

As Ronak Kothari, an executive board member for the event, puts it: "This is a very fun, casual event where we have over 20 restaurants coming into the hotel. Food, entertainment, drinks — and everything we do goes back to the Tarrant Area Food Bank."

Once you've been, it's easy to understand why people come back.

The Challenge

Hundreds of attendees arrive in a narrow window, eager to eat. More than 20 restaurants are ready to serve. Sponsors, volunteers, and vendors are all counting on a smooth start. The moment the doors open, everything depends on getting people through check-in quickly.

If ticketing slows down, the whole event feels it. Lines build. Hungry guests get impatient. Restaurant traffic backs up. Organizers get pulled away from everything else they're supposed to be managing.

There's no time to troubleshoot at the door.

The Solution

A Taste of Southlake has worked with Brushfire for the last few years, and the partnership has grown well beyond ticketing.

Brushfire Onsite Support brings two to three team members directly to the event. Not a hotline. Not a chat window. Real people, on-site, handling check-in from the time setup begins through the final scan.

"The biggest thing about everything running smoothly is the ticketing system. They've not only guided us on how to set up the dashboard, but we've got them at the event itself where they're checking in people and the check-in process is totally seamless." — Ronak Kothari, Executive Board Member, A Taste of Southlake

On the platform side, Brushfire's integration with Stripe has also simplified things for the organizing team. "The setup process possibly takes like 2 minutes," Ronak noted. "A few prompts and you're all set up. Easy, no issues at all."

The Result

Three years into having Onsite Support, check-in isn't something the team worries about anymore.

By event day, the Brushfire team already knows the venue, knows the flow, and knows the people. There's no re-explaining the setup or training a new crew at the last minute. Everyone's ready before the first guest walks through the door.

That consistency has given the organizing team something back: their own attention. Instead of managing the entrance, they can focus on sponsors, vendors, volunteers, and everything else that makes the evening work.

"If I was going to recommend someone in the event space for their ticketing system and overall management, it would be Brushfire, number one, without a doubt." — Ronak Kothari
