June Product Update: Introducing Enhanced Report Security

Give your team secure access to the data they need—no more, no less. Brushfire’s Data Viewer permission level makes it easier to share insights while keeping your event data protected.

We’re excited to announce a powerful new feature that gives you greater flexibility in managing your team’s access to event data! Our new Data Viewer permission level is designed specifically for team members who need to view and analyze event reports without requiring full system access.

This enhanced permission system allows Data Viewers to:

  • Access event-specific reports tailored to their needs
  • Run custom queries for deeper insights
  • Export data via CSV for external analysis

With this new role, you can confidently grant viewing access to more team members while maintaining robust security controls. It’s the perfect solution for analysts, stakeholders, and team members who need reporting access without compromising your data security standards.

Why We're Making This Change

As technology evolves and security threats become more sophisticated, we’re committed to staying ahead of potential vulnerabilities to keep your data safe. While we understand that the previous open access to reports was convenient, modern security standards require us to implement proper authentication controls. This necessary step ensures your sensitive event data is protected according to current best practices, and only authenticated users with appropriate permissions can access your reporting data.

What This Means for You

  • BF Users will need to sign in to access event reports (if you weren’t already)
  • Your data will be more secure with proper authentication controls
  • The experience will be smoother once signed in – just an extra security step upfront

Obviously, the biggest change you will notice is that sign-in will be required. When recipients visit URLs that show event data in reports, they’ll now be redirected to sign in first before accessing them. For everyone that is already a Brushfire user and they’re logged into their account, there will be no redirect for them (this excludes user sets agent, tech, and scanning). But for those who may get a subscription email of a weekly or daily data report and who aren’t users in your dashboard, they will now have to sign in as a Data Viewer.

Action Steps to Take

If you currently send reports or subscription reports to recipients who do not already have a Brushfire login, once the feature goes live you will need to:

 

Create a user account for them by selecting Users > Add Account > User Account:
After you enter their information, select Data Viewer and follow the remaining steps

This will send them an email informing them of their user account and how to complete setting up their password. 

 

From here, for already scheduled subscription reports, those will still be emailed out at the usual scheduled time. Outside of subscription reports, please note that on the Main Details tab of your Event Configuration, anyone set to receive Notification Emails must also be a user in Brushfire. If they are not, you will need to make those recipients Date Viewer accounts as well. For those set to receive Manager Emails, those emails will still go out and be viewable without the recipient being a user. However, if those Manager emails have links to view other reports (for example, for Groups), they WILL need a user account to view reports once they click on the links.
